3. Sources of Personal Information
We may obtain information directly from guests, from the Cloudbeds booking engine, from online travel agencies for reservations placed through them, and from authorized payment or service providers as needed to manage a booking.
4. Purposes and Lawful Bases
We process information as needed to provide and administer reservations and guest services, send confirmations and itinerary updates, process payments and refunds, maintain business and financial records, prevent fraud, respond to requests, and comply with legal obligations. We rely on an appropriate lawful basis under the Philippine Data Privacy Act of 2012 for each activity, which may include fulfilling a contract, complying with law, legitimate interests where permitted, and consent where required. Optional marketing messages follow applicable consent and opt-out requirements.
5. Payment Card Information
Online card payments, where available, are handled through authorized payment service providers such as Xendit, integrated with our booking process. BAIBAI Beach Resort does not collect full card numbers or card verification codes through ordinary emails, chat messages, or paper forms. Payment providers may collect payment information directly under their own security controls and privacy policies.
6. Sharing and Cross-Border Processing
We may share necessary information with booking and property-management providers (including Cloudbeds), payment processors (including Xendit where enabled), authorized service partners, and professional advisers or public authorities when legally required. Some service providers may process information outside the Philippines, subject to applicable safeguards and contractual arrangements. We do not sell guest personal information.
7. Retention
We retain guest and transaction records only as long as reasonably necessary for reservations, legitimate operations, dispute resolution, and applicable accounting, tax, or other legal obligations. When data is no longer required, we securely delete, dispose of, or anonymize it.
8. Security
We implement organizational and technical safeguards appropriate to the personal information processed, including restricting staff access to authorized business purposes and using approved booking and payment services.
